Accounts Assistant (Sales Ledger)

25-30 hours per week, £25,00-£30,000 per annum

We are seeking to recruit an Accounts Assistant to work closely with the Finance Manager and other Accounts Assistant, to maintain an efficient and accurate finance function within Cumberland Lodge.

Cumberland Lodge is an educational charity and social enterprise that exists to empower young people to lead the conversation around social division, providing them with the skills, perspective and confidence to question, challenge, and understand, some of the most complex social issues of our time.

Day-to-day, our buildings and facilities operate as a social enterprise, hosting multi-day residential retreats, workshops, conferences, and similar events on a commercial basis. Our regular clients include university departments, legal and medical training bodies, and many other public sector, private sector, and not-for-profit organisations.

Job description

Objective: To be responsible for both sale ledger and purchase ledger functions within the finance department. To provide accurate, up-to-date financial information about the business to enable the finance department to produce reliable monthly and quarterly financial reports.

Reporting to: Finance Manager

Functional relationships with: Accounts Assistant, Chief Operating Officer, Cumberland Lodge staff

Place of work: Cumberland Lodge, Windsor Great Park

Main duties:

  • Sales ledger:
    • Raising deposit invoices including obtaining purchase order numbers as appropriate.
    • Post all sales invoices onto Sage
    • Sending out statements as directed and chasing outstanding invoices by phone/email. 
    • Update monthly ‘deposits held’ spreadsheet
  • Credit control:
    • Monitor outstanding invoices and follow up with customers to ensure timely payment. Proactively identify and address any issues or discrepancies in payments
  • Banking:
    • Update KX (customer booking system) when customer payments are made
    • Manage petty cash
    • Bank matching, bank posting and bank reconciliation.
  • Journals:
    • Post monthly bar journals on Sage
    • Intercompany journals
    • Book and gift stock
  • Reporting:
    • Prepare regular reports on sales ledger activity, providing insights into outstanding invoices, payment trends, and aging analysis
    • Checking BACS processing report for any DD returns
    • Intercompany reconciliation
  • Admin:
    • Oversee and manage finance email inbox
  • Year end audit:
    • Provide supporting schedules as part of the pre-audit pack

Person specification

  • Working knowledge and experience of Sage accounting software.
  • Fully proficient in using IT systems, including Outlook, Excel and Microsoft Word.
  • Good knowledge of accounting procedures.
  • Knowledge of financial systems and processes.
  • Demonstrates a logical and methodical approach with attention to detail and accuracy.
  • Able to work with minimum supervision.

The successful candidate must have access to a vehicle, as Cumberland Lodge is located remotely in Windsor Great Park without easy access by public transport.

Benefits

Salary: £25,000 to £30,000 per annum FTE

Hours: 25 – 30 hours per week

Shifts: Office based, flexible working hours.

Annual leave: 33 days including Bank Holidays which will be pro-rata. The charity is closed over the Christmas period which will be deducted from the leave allocation.

Pension: Standard Life contributory pension (currently 7% contributions to support 5% personal contributions, with the option to increase personal contributions over and above 5%)
