Academic conferences are a vital part of academic life and the academic, research and scientific processes. Conferences are where researchers come together to present and discuss their work. Along with published papers and journals, conferences are one of the main ways in which information and ideas are shared between researchers and introduced to the wider world.  

Academic conferences are also important events for attendees to receive feedback and comments from their peers on their research and to maintain awareness of the latest ideas and findings from their own field and other disciplines. These can also be valuable events for networking, building professional contacts and relationships and seeking collaborations. They can be chances to put faces to names previously only seen as references in papers or credits in journals. A typical academic conference will include a number of presentations where researchers present ideas, progress on projects or findings. There is usually a single keynote lecture, typically of a subject of great importance to the discipline or topic of the conference or delivered by someone notable in the field, although the keynote can also be a panel discussion or presentation on a core theme or subject. A conference will usually also feature panels, round table discussions workshops and other sessions around the presentation programme. Conferences typically include a meal for all attendees, which may be a formal affair with speeches.

Cumberland Lodge is two things. First, it’s a 17th-century country house and former royal residence in Windsor Great Park. Second, it’s the name of the educational charity and social enterprise that has been based there since 1947. Founded in the aftermath of the horrors of the Second World War, our mission is to develop the next generation of leaders.  

We aim to provide the next generation of leaders with the skills, perspective and confidence to understand and challenge complex or difficult issues. We foster ethical leadership and multi-generational, intercultural and cross-sector discussions. Cumberland Lodge is a place where ideas and experiences are shared and where great minds don’t have to think alike.  

Our programme of events regularly brings academics, researchers, students and subject experts together. We are fundamentally an academic venue – albeit one with a difference – and we have decades of experience of bring people together to share ideas.  

The ideal venue for academic conferences 

If our history and mission weren’t enough, Cumberland Lodge is an excellent location for an academic conference because of what we can offer as a venue. We offer the unique surroundings of an elegant country house surrounded by thousands of acres of green space in Windsor Great Park. This is a secluded setting, away from the bustle and stress of the rest of the world, where attendees can relax, concentrate, enjoy and absorb what’s being presented and discussed.  

And yet, while we are in a green oasis outside Windsor, we are also accessible and connected. Cumberland Lodge is close to major motorway junctions on the M25, M3 and M4. Multiple railway stations with fast trains to central London and connections to southern, western and central England are a short taxi journey away. And Heathrow Airport, with its world-leading list of international connections, is less than half an hour’s drive away. So, whether they’re coming by road, rail or air and from nearby or far away, attendees can reach Cumberland Lodge easily. And still feel like they’re in the middle of the countryside once they’re here.  

Spaces of every size for academic venues  

Whether it’s awriting retreat, student retreat or a major international event that’s a landmark in the field, Cumberland Lodge has the perfect space for your event.  

We offer a total of 14 spaces for events, which can be booked in any combination subject to availability. These can accommodate between eight and 100 people and many can be furnished with a variety of layouts of chairs and tables to suit different purposes, whether that’s theatre-style rows, a U-shaped table or separate circular tables.  

The largest rooms are in our Mews Conference Centre. Flitrcroft is our largest space, with a capacity of up to 100 people, with plenty of natural daylight and views over our lawns and Windsor Great Park. This is an ideal space for presentations, keynote speeches and panel discussions. This room is fully equipped with built-in audio-visual equipment and an audio loop for full accessibility. It directly adjoins two smaller rooms, Windham and Greening, which can serve as breakout or discussion spaces or preparation areas.  

Other rooms suitable for typical academic conferences are Sandby, seating 50 people in a theatre-style layout, Hodgson with a capacity for 30 people and the Vaults – this 90-seat area is in the basement of the Lodge and has a projector and sound system. 

We have other rooms that can host or support a conference, such as the Amy Buller Library (a working library that can also accommodate 25 people for a panel or round table session) and the Chapel (a historic room suitable for gatherings of up to 30 people depending on the layout). We have multiple rooms for between eight and 20 people if you hold breakout sessions, , tutorials or interviews. All these rooms have either built-in audio-visual equipment or can be provided with such as required.  

In the summer, you could even try a conference, discussion or entertainment space with a difference and book the Wilderness area – a secluded outdoor zone with seating in the gardens of Cumberland Lodge.  

Not just academic conference venues 

We understand that a conference isn’t just about the presentations and speeches. There has to be time to talk, connect and socialise. Cumberland Lodge includes several rooms dedicated to providing somewhere to relax, unwind and converse. Our historic Drawing Room, the smaller and cosier Sitting Room and the grand Tapestry Hall are all well-suited to bring attendees together, whether it’s on arrival, a break between sessions, afternoon tea or at an evening drinks reception. If the weather suits, we can serve light meals and drinks on the lawn too.  

Cumberland Lodge is not a hotel. But we have similar facilities. That’s why we’re such a great place to hold an academic conference. Attendees don’t have to arrange alternative accommodation, and the organisers are spared from needing to arrange transport between conference and accommodation. Staying entirely on-site maintains the focus and character of the conference, and allows full time for discussion, networking and discussion. Whether your conference is lasting one day or many days, attendees travelling a long way will appreciate having rooms available.  

Our bedrooms match the capacity of our meeting spaces – our largest room seats 100 people, and we can accommodate 95 people in 58 en-suite bedrooms. Two of these have no-step access for those with limited mobility or who use wheelchairs. We also have three dining rooms, suitable for parties of 10, 40 or 60 people. The two largest dining rooms can be joined into one by removing a partition wall to create a large space for 100 diners. Cumberland Lodge has our own in-house team of chefs, who can create bespoke menus to suit your event and audience from high-quality and locally sourced ingredients. And we don’t just provide full meals and menus – by arrangement we will provide tea, coffee, biscuits and light snacks to our rooms to keep your conference-goers going.
